You are three weeks out from a retreat. Will the cover hold?

The venue in Portugal has asked for proof of insurance. A participant who signed up two days ago emailed about a knee injury and wants to know if she can still attend. Your first morning is a strong Vinyasa flow at 8am. The retreat is six days. You have one yin session. There is a sound bath on the third evening, which the venue runs but you put on the schedule. Most teachers stop and wonder, somewhere around the third question, whether their policy is built for any of this.

Does the venue need a certificate?

Most retreat venues ask for a certificate of insurance at booking. The certificate is in your member dashboard once cover is live.

What is and is not yours to insure

Read this before you sign the venue contract.

The policy carries the teaching. It does not carry every line of the retreat business. Knowing the boundary protects the work and the venue relationship.

The teaching itself

Your liability for what you cue, adjust, and advise is the heart of the policy. A participant claims an injury from a posture cue you gave; a complaint about advice you offered between sessions; a dispute over what was taught versus what was advertised. £6M Professional & Public Liability, nil excess, with reasonable defence costs.

Participants' own travel cover

Your policy covers your liability to participants for the teaching. It does not cover their flights, their cancellation cover, their personal health insurance, or a bag lost in transit. Make this explicit on the booking page; ask each participant to arrange their own travel insurance before they book.

The policy responds to claims arising from how you teach. Run an intake form before the retreat: ask for injuries, conditions, medications, and any contraindications. Acknowledge each one in writing. A participant who declares a knee injury and is then placed in a hands-on adjustment is a different risk profile from one whose intake was never read.

Activities outside standard cover

Aerial Yoga, Acro Yoga, YogaLates, massage, and personal training sit outside the standard cover. They require a multi-therapy add-on. If your retreat blends one of these into the schedule, contact Balens through us before the booking page goes live.

Sound healers, therapists, breathwork practitioners, chefs, body-workers brought in to deliver their own sessions carry their own professional indemnity. Ask each one for a copy of their certificate before the retreat. The policy on this page covers your teaching, not theirs.

The retreat business itself

Equipment you ship out, marketing claims about the retreat, the venue's own buildings and contents, retreat cancellation cover, deposits returned to participants if a flight is grounded: all sit outside the teacher policy. They belong to retreat business cover, which is separate. Ask Balens for a referral if you want to extend.

Most retreat venues ask for proof of insurance before contracts are signed. The certificate of insurance is in your member dashboard once cover is live; download it as PDF and forward to the venue contact. Carry a copy with you. If the venue asks for a custom letter, the team will arrange one with one business day notice.

Excluded territories

Retreats in USA, Canada, Russia, and Belarus sit outside the UK policy's territorial limits. If you are leading a retreat in one of these four, the routing is different, and so is the underwriter. Get in touch before the booking page goes live; we will route you correctly.

Things retreat-leading teachers actually want to know.

Yes. Your standard UK Professional Yoga Teacher policy covers temporary teaching trips abroad. Portugal, Bali, Costa Rica, Crete, Mexico, Sri Lanka, Morocco: all sit inside the cover. The territorial exclusions are USA, Canada, Russia and Belarus. Membership must be active for the retreat dates and your Live CV must be verified.
Not under the UK policy. The USA is one of four territories explicitly excluded (USA, Canada, Russia, Belarus). If your retreat is in any of these, do not publish the booking page yet. Email insurance@theyogapros.com with the dates and venue and we will route you to the appropriate underwriter before you take deposits.
Breathwork sits inside the standard cover when you are leading it as part of a yoga session. Sound healing and similar therapeutic modalities delivered by another practitioner are covered under that practitioner's own professional indemnity, not yours. If you are personally delivering a sound bath, treat it as a separate modality and email us before publishing the schedule.
The certificate of insurance is in your member dashboard once cover is live. Sign in, open the insurance section, download the PDF, and forward to the venue contact named on your contract. If the venue requires a custom letter on YogaPros letterhead naming them as an interested party, email insurance@theyogapros.com with one business day notice; the team will arrange one with Balens.
Run an intake form before the retreat: ask for injuries, medical conditions, medications, surgeries, and pregnancy. Acknowledge each disclosure in writing. Adjust the practice for what was declared. The policy responds to claims arising from how you teach; an intake form that was completed and acted on is the strongest evidence that the teaching was responsible. A participant whose injury was disclosed and ignored is a different risk profile.
Yes, and the policy is built for that. It is written on a claims-occurring basis with retroactive cover. A claim filed weeks, months, or even years after the retreat is covered if the incident occurred while you were a member. No run-off cover required. Most retreat-related claims arrive long after the schedule has ended; this is the wording that holds.
The policy covers temporary trips abroad; in practice that means typical retreat lengths from one day to two or three weeks sit cleanly inside the cover. A retreat of four weeks or more, or a series of consecutive retreats that effectively becomes a long stay abroad, starts to look less like a temporary trip. If your retreat runs longer than three weeks, get in touch before publishing; the routing may need to change to a permanent-relocation underwriter.
Yes. The policy covers online live classes worldwide, with the same territorial exclusions (USA, Canada, Russia, Belarus). Pre-retreat orientation calls, post-retreat reunion classes, and any Zoom session you run as part of the retreat experience all sit inside the cover. Keep student name and email records and run a brief health-disclosure step in the consultation before live online sessions; both are conditions of online cover.

The deposits, the travel, the participant intake forms, the venue contracts, the schedule that has to hold for six days in a country that is not yours. The last thing you should be doing in the week before you fly is wondering whether the policy is built for any of it.
